Stop copy-pasting your way through AI
Your team uses AI every day — but if the workflow is copy-paste into ChatGPT, reformat the output, then drop it into a spreadsheet, Google Doc, project management tool, email to a client, or save-and-share for a meeting — you're burning hours and losing data. Let's put a number on it.
Which AI tools does your team use?
Select all AI platforms your team interacts with regularly.
What manual steps are involved?
Select everything that sounds familiar. Be honest — most teams do all of these.
How many times per day does each person use AI?
Count every time someone opens ChatGPT, pastes into Claude, asks Copilot, etc.

Hourly cost
How we calculate these numbers
This calculator estimates the hidden cost of manual AI workflows — the time your team spends on tasks that could be automated with integrated pipelines. Here's the methodology:
Time cost per manual step
Each workflow pain point carries an estimated time cost per occurrence, based on common task benchmarks:
- Copy-pasting in/out of AI tools — 3 min (switching windows, selecting text, formatting for the prompt, pasting the result back)
- Reformatting AI outputs — 5 min (cleaning up markdown, adjusting tone, fitting it into your doc or slide format)
- Re-explaining context — 4 min (every new AI session starts from zero — you re-describe your project, constraints, and preferences)
- Manual spreadsheet transfers — 6 min (copying structured data into sheets, fixing columns, validating it didn't break)
- Tracking the latest version — 3 min (which chat had the final version? Was it this thread or the other one?)
- Cross-checking outputs — 5 min (verifying facts, comparing against source data, catching hallucinations)
Overlap adjustment
Not every pain point hits every interaction. We apply a 60% overlap factor — meaning if you selected all six pain points, we assume roughly 60% of your daily AI interactions involve those manual steps. This keeps the estimate grounded rather than worst-case.
The formula
Minutes per interaction = sum of selected pain points × 0.6
Daily waste = minutes per interaction × daily AI uses × team size
Annual waste = daily waste × 250 working days
Potential savings = annual waste × 75% automation rate
Automation reclaim rate: 75%
Integrated AI pipelines — where prompts, context, and outputs flow automatically between your tools — can eliminate most manual steps. We estimate 75% because some human review and judgment will always be part of the process. The remaining 25% accounts for tasks that genuinely need a human in the loop.
Data loss risk
The risk bar increases with the number of manual steps selected. Each manual handoff — every copy-paste, every reformatting pass — is a point where data can be lost, overwritten, or corrupted. Using multiple AI tools compounds this because context doesn't transfer between platforms. This isn't a precise measurement, but a directional indicator: the more manual your AI workflow, the higher your exposure.
A note on estimates: These numbers are directional, not exact. Every team is different. The goal is to make the invisible cost of manual AI workflows visible — so you can make an informed decision about whether automation is worth the investment. In our experience, the actual numbers are often higher than what this calculator shows, because it doesn't account for the compounding cost of errors, rework, and lost institutional knowledge.
AI should work for you, not the other way around
We build integrated AI pipelines that connect your tools, preserve context, and eliminate the copy-paste grind.
