The Problem

A regional service company with 12 locations was managing all inbound leads through a single shared email inbox. Leads sat for hours. Nobody knew who was handling what. Response times averaged 6 hours, and roughly 30% of leads were never followed up on at all.

What We Built

We designed an end-to-end lead pipeline using n8n, Airtable, and Twilio. Every form submission and phone call triggers a workflow that tags the lead by service type and location, scores it based on intent signals, routes it to the nearest available rep via SMS, and logs everything with timestamps.

An auto-response goes to the prospect within 60 seconds. Managers get a real-time dashboard showing lead volume, response times, and conversion rates by location and rep.

The Results

  • Average response time: 4.7 minutes (down from 6 hours)
  • Lead follow-up rate: 100% (up from ~70%)
  • Conversion rate: 19% (up from 8%)
  • Zero leads lost to the shared inbox black hole
